Action item list
An online action item list instead of a spreadsheet template
An action item list answers three questions: what will be done, who is responsible, and by when? Actarium keeps this list online for the whole team – with one link instead of a file circulating by e-mail, and encrypted before it reaches our server.
The columns of an action item list
Every item has a title (what), an owner (who), a due date (by when) and a status. Optionally you add a note and the meeting the item came from. There are deliberately no more fields – the list should take a minute to maintain.
Why not just use a spreadsheet template?
A spreadsheet template is quick to copy but hard to keep current: who has the latest version, who may change it, and where is it? With Actarium, everyone works in the same list. Changes show up for everyone shortly after, and simultaneous edits to different fields are not lost.
Export when you need it
You can export the list at any time as CSV for Excel, as Markdown or as PDF via print. The export is created only in your browser. There is also a password-encrypted backup file that restores the list.
An action item list in four steps
- Create list Give it a name, e.g. “Team North – actions”, and choose how long the list is kept after the last activity (90, 180 or 365 days).
- Add action items One item per line: “Check budget @Ben !+7” sets the owner and a due date one week from now.
- Invite the team Share the team link. With the read-only link, stakeholders see the status without being able to change anything.
- Keep the status current Set items to in progress, blocked, done or dropped. The “By meeting” view shows how much from each meeting is already done.
Frequently asked questions
Is there a template to download?
No, Actarium is an online list rather than a file. If you need a spreadsheet, export the list as CSV at any time and open it in Excel or another spreadsheet program.
Who can see the action item list?
Only people with a link to the list. The key sits in the link after the # sign and never reaches our server; the server stores only ciphertext.
How long is the list stored?
As long as chosen when it was created: 90, 180 or 365 days after the last activity. After that it is deleted automatically. An encrypted backup file can restore it.
Can action items come from a meeting tool automatically?
Yes, from Votarium: action items and decisions from its minutes arrive in Actarium through the list's inbox address. Votarium can only drop them in, never read along.
